Return / Refund Policy
Classes and Monthly Block bookings
Our classes are generally booked in monthly blocks although we do offer a pay as you go option if you prefer. The only way to guarantee a place in a particular class each week is to block book.
We are happy to provisionally reserve you a place in your chosen class when you book your individual consultation. to ensure you will have a place in the class of your choice. Don’t worry, if anything changes before your consultation or your Physiotherapist feels that the class wouldn’t be the best one for you, we are happy to cancel your class booking without charge. Cancellations can be made before or at your consultation, cancellations after this time would be subject to our normal cancellation policy detailed below. If you prefer to wait until after your consultation, we will be able to check availability for you then. Please note that classes are subject to availability and we can’t guarantee a space in any particular class until is has been booked.
All payments made are non-refundable and classes may not be carried over into subsequent months. When making a block booking you will be reserved a place in a specific class at a specific time: for example Monday at 11am. This space will then be guaranteed as long as payments are received monthly on time. Your initial booking will be made on an ongoing basis, however you are free to cancel by giving is 14 days notice before the end of the current month. Your classes will then be cancelled from the start of the following calendar month. No refund will be given for cancellations mid-month.
Details of how to cancel your class block booking can be found below.
Payments for Block Bookings
When making a payment please look at how many classes there are in the month and then adjust the payment for that month. For example: If you attend on a Monday and there are 5 Mondays in the month, for a Mat Class the payment would be 5 x £10 = £50. Please note all sessions in the month need to be paid for if you are block booking, even if you know you will miss a session. We do offer class swaps where we are notified in advance that you will be unable to attend a session. Please refer to “Class Swaps” below.
- Payments for all classes must be received on the 1st of each month for block bookings to guarantee your place in your chosen class. Payments are non-refundable.
- If you pay after this date we do NOT guarantee your place even if you have attended the same class in the previous month.
- If you no longer want to attend the classes you MUST cancel your booking otherwise you will still be charged.
- Not paying for the month DOES NOT constitute a cancellation and your account will continue to be charged monthly, until you cancel you booking.
Cancelling your Block Booking
When you make a booking with us we will book you into class on an ongoing basis. This is so we can guarantee your space in that class every week for as long as you want to attend. You will remain booked in until you notify us otherwise. This space can’t be then offered to anyone else so will continue to be charged until your booking is cancelled.
How to cancel your booking
If you are not going to attend your regular class for a month or you no longer wish to be booked into that class, we require that you give at least 14 calendar days notice (in writing or via e-mail) before the end of the current calendar month. We will then cancel your regular booking without charge. It is your responsibility to make sure that we have receive your cancellation. We will then confirm the cancellation with you in writing or via e-mail. If you have not received a cancellation confirmation within 7 days of cancelling please notify us immediately.
Failure to notify us of your intention to cancel within the correct time frame as detailed above, will result in you being charged, in full, for your regular booking.
This will be charged in monthly blocks as per your original booking.
“Pay as you go” Bookings
We do offer classes on a pay as you go basis. These sessions are booked individually and as a result do not get the discount applied to block bookings. The pay as you go rate for the classes can be found here
Terms of “Pay as you go” Bookings
• Block bookings will always have priority and we are unable to hold spaces open that are not paid for.
• Pay as you go classes can be booked a maximum of 10 days in advance.
.• Pay as you go classes must be paid for at the time of booking and are non-refundable.
• We require at least 24 hours to cancel a pay as you go session otherwise you will still be charged for the session.
• For cancellations made with more than 24 hours notice, the fee paid will then be added as a credit to your Physio 2 Pilates account and can be used for a subsequent class.
• Class swaps are not available for pay as you go sessions, missed sessions that are not cancelled within our cancellation window will be lost.
• Sessions can be booked on-line here or via the Physio 2 Pilates App that can be downloaded from the Google play or App Store. You can also speak to our Reception Team by calling 0121 240 9202.
• To book a pay as you go class you must have completed an Initial Consultation, Health Screening appointment or Health form. If you are unsure please discuss this with us before making your booking.
We understand that it is difficult to juggle holidays, personal commitments and Pilates! For this reason we try, where possible, to allow people to make up classes at alternative times should they have to miss a class and where they have informed us at least 24 hours before the class.
There is no guarantee that you will be able to swap your existing class as alternative classes may be full. We can only guarantee your place in the class you are block booked into. However, we will always try our best to accommodate swaps where we can.
We allow a maximum of 2 class swaps per calendar month (subject to availability) otherwise you will risk losing your place in your regular class.
If you swap your class please make sure you book a class at the same level as your current class. If you swap your class using our online booking system we reserve the right to make changes to that booking. For example if the class you have swapped into is at a more advanced level than your regular class.
To swap a class the following criteria needs to be met:
• You must cancel your existing class with at least 24 hours notice. We can then offer your place to someone else who would like to swap. This maximises the spaces we can offer as swaps.
• Classes cancelled with less than 24 hours notice or not attended will NOT be eligible for a class swap.
• We only allow a maximum of 2 swaps per calendar month otherwise you risk losing your regular booking. If you will miss more than 2 sessions you can go onto the “pay as you go rate” but we only guarantee places in a specific class for block bookings. Block bookings will always have priority so if you want to keep your regular space in a particular class the month must be paid for in full.
• All swaps must be completed within the same calendar month and can’t be carried over into the next month.
Individual Pilates and Physiotherapy sessions
We require a £20 deposit to secure an appointment booking. This needs to be made at the time of booking and can be made online or over the phone during office hours. We reserve the right to cancel any appointment where the deposit has not been received. This deposit is non-refundable but is transferable. Should you need to re-arrange the appointment, as long as you follow our cancellation terms below, we will hold the deposit on your Physio 2 Pilates account to be used at a later date.
Cancelling an Individual Session
Our Physiotherapists are very busy and missed sessions or sessions cancelled at short notice mean that we are unable to book in another client who maybe waiting to see us. For this reason we require at least 24 hours notice for cancellation of an individual session. We would appreciate it if you can give us more notice if possible to allow us to make alternative bookings.
How to cancel:
If you are not going to attend your appointment we require that you give at least 24 hours notice. Cancellations may be done over the phone or via e-mail. We will then cancel your appointment without charge and credit any deposit to your Physio 2 Pilates account. It is your responsibility to make sure that we have receive your cancellation notification. We will then confirm the cancellation with you and you will receive an e-mail notifying you that the session has been cancelled. If you do not receive a cancellation confirmation please notify us immediately.
If you cancel an individual session with less than 24 hours notice or fail to attend an appointment you will incur a cancellation charge, this will be the full fee for that particular appointment. No further bookings can be made until this fee has been paid.
Please note that failing to pay the deposit does not constitute a cancellation and unless you notify us of your intention to cancel the individual session you will still be charged in full for the appointment.
By booking with us (classes or individual sessions) you are agreeing to the terms and conditions outlined above. A copy of our full terms and conditions will also be included on your booking confirmation email.
